In the morning you know who goes where.
In the evening you know what it cost.
Management software for landscaping and green-space maintenance firms. The office plans the route, the field fills in the report from a phone, and the job’s figures close themselves.
Three numbers almost nobody has
The first two are not industry averages: they are worked examples from our guides, with the assumptions written down. They show where the money goes when the hours stay in a notebook.
Real hours against quoted hours on a residential contract: 31 instead of 24. The expected margin was +€304, the real one −€205.
How it is measured →A year in crews standing in the yard waiting for instructions: three crews, forty minutes a day, two hundred and twenty days.
How to remove it →The discount on the fee with a three-year commitment. Two years give 10%. The setup fee stays full and modules stay at list price.
See the pricing →Drag it, and watch the margin
A residential block quoted at €1,800: mowing, edging, the perimeter hedge, collection and disposal. On the left what you expected, on the right what happened. In between there are seven extra hours and a trip to the tip you had not counted.
This is the worked example from our guide on what a job costs, with the assumptions written down. The point is not the single job at a loss: it is that you renew it next year at the same price, because nobody ever told you.
What the morning in the yard costs you
The time that goes every morning on waiting, explaining and calls to put everyone straight. Move the three sliders to your own numbers.
Over 220 working days. The hourly cost of a crew covers the people and the vehicle: €59 is an example, your real figure is a separate sum and worth doing.
You will not get all of it back: a start always takes a few minutes. But most of it comes from one thing, that the day route is passed on by word of mouth.
Show me howEleven parts, one screen at a time
These are the real screens, with sample data. They move on their own: stop them by picking the one you want.
The operational core
Every job follows a life cycle with colour-coded status columns, real-time counts and customisable tables.
- Field job report: hours per person, equipment, notes and photos from the site
- Save-and-transition: buttons also move the job's status
- Built-in weather to plan around the rain
- Automatic quotes and Excel export everywhere
Plan with a drag
Move and resize a job right on the calendar to reschedule it. Every event shows client, place and time, colour-coded by status. A per-crew work plan with drag & drop and export.
- Weekly view of job-site events
- Month, week, day and list views, with a shareable calendar
- Reorder a crew's job sites by dragging
- Private iCal feed for Google/Apple Calendar
The crew's stops, in order
Every crew has its own round: the day's stops one after another, with client, address, time and duration. Drag a stop to change the order they will be done in and the map updates with the crew's colours.
- A map of every stop that day, one colour per crew
- Estimated round duration and number of stops always in view
- Weather on each single stop, to see what the rain puts at risk
- A full-screen board for the office, the app for those on the road
Build crews by dragging
Move a worker from one column to another and the crew updates right away. Every person has their own record: details, profile, active modules and app pairing.
- Crews created and changed with a drag
- Modules you can switch on one at a time, at a flat fee per company
- App pairing with a QR code and passkey sign-in
- Workers can be archived without losing their history
Hours and attendance, paperless
One-tap clock-in/out; the system knows if a worker has an open shift. A monthly attendance matrix with Excel export.
- GPS clock-ins: location and address of the point (optional)
- Manual attendance and absences with a reason
- Corrections within a configurable window
- Duration and overtime calculated automatically
Vehicles and equipment, with no forgotten deadlines
Every vehicle has hours or kilometres, status, assignment and its next deadline. The software warns you when an inspection or an insurance policy is about to expire — or already has.
- Inspection, insurance and road-tax deadlines with an automatic alert
- Scheduled servicing and yearly costs per vehicle
- Vehicle usage: who is using it, where and when
- CSV import and vehicles assigned to the job from the field report
Materials, stock and prices in one place
Items with stock level, last cost and stock value. Quantities used on site are deducted from the field report, and a banner at the top of every page flags anything below the minimum or below zero.
- Alerts on items below minimum and with negative stock
- Stock in, stock out and stock valuation
- A price list of categories, line items and packages with unit of measure and price
- Price-list items feed the quotes automatically
The jobs that come back every season
Mowing, hedges and irrigation each have their own register: every site has its visit rhythm and the software keeps count of the visits done, those still to plan and the sites left unvisited for too long.
- Visit rhythm per site and urgency calculated automatically
- Season, site map and daily round all linked together
- A summary of hedges and irrigation per client and per year
- Enrol a site in the programme and filter by tag
A client database that works for you
Rich records with complete billing data (VAT no., SDI code, PEC, split payments). Open a client to reach their yearly summary: jobs, invoices, quotes, mowing and outstanding balance.
- Import from CSV/Excel with a template and preview
- Automatic address geolocation
- Client drafts created on the fly from a job
From quote to invoice
Invoices from the client summary with a preset amount, line items, taxable base, withholding tax, VAT and paid/unpaid.
- Quotes built from price-list items and sent to the client
- FatturaPA e-invoicing: XML import and VAT-number validation
- Automatic numbering by year with annual reset
- Quotes with a branded PDF and edit lock
Take it to the field
Workers see the day's jobs on their phone, fill in the report with hours and photos, and clock in/out with GPS. QR-code pairing and biometric passkey login.
- Field reports with photos uploaded on site
- Nearest client to the worker's location
- Password-free access, secured with JWT
The day, from seven to six
The office sets the route
Each crew’s stops one under the other, with customer, address, time and duration. They reorder by dragging and the map redraws itself. Nobody waits in the yard for you to finish explaining.
The field fills it in from a phone
The operator opens the day’s job and records the hours per person, the machines used, the materials and the photos taken on site. On sending, the job moves itself to “To be checked”.
The figures are already there
Quote, crew, machines and real hours on the same card. You see at once whether that job paid, in time to redo the price at the next visit rather than at year end.
One price for the whole company
You don't pay per person. The fee is set by the people working in the office on the software; those out in the field, using only the app, have their own much lighter tiers.
Start
For companies still running on paper, Excel and messages.
- Jobs, sites, calendar and daily route
- Customers, quotes and work plan
- Field app with job report
- Excel export
Pro
For companies that need to keep track of hours, recurring maintenance and irrigation.
- Everything in Start, plus:
- Time tracking and irrigation

Prices exclude VAT. The figures above apply to one office user: above that, the fee follows the table. Operators who only use the app are counted separately.
Free trial: 30 days on the Pro edition, no setup fee and no credit card. With a two or three year commitment the fee drops by 10% and 15%: the calculator below takes it into account.

How to do it, in practice
Answers to the most common questions about using QuerciaCloud every day.
How do I add a new client?
From the Clients menu choose "New client" and fill in the record: type (private, condominium, company or public administration), contacts and reference person. In the billing section add the VAT or tax number, SDI recipient code, PEC and payment method. You can save right away or leave it as a draft and finish it later. If you already have many clients, it's best to import them all at once (see the question about importing).
How do I create a job or a site?
From Jobs choose "New job", select the client and build the job: services (mowing, pruning, hedges, irrigation), equipment, assigned crew or workers, date and place. You can add notes on separate channels and attachments. In the field, with the app, you can also create a job on the fly via the quick report.
How is the field report filled in?
The worker opens the day's job in the app and records the hours worked per person, the equipment used, any notes and the photos taken on site. On submission the job automatically moves to the "To validate" status, ready for the office to review.
How do I record staff clock-ins and clock-outs?
With the Time-tracking module the worker records clock-in and clock-out with one tap, optionally with GPS location. Administration can manually enter attendance and absences (holidays, sick leave). The monthly report shows hours per day, totals and overtime calculated automatically, with Excel export.
How do I generate a quote or an invoice?
Every job produces a pre-filled quote that you can edit and export to PDF. To invoice, from the client's yearly sheet you create the invoice with a preset amount (from the balance, the quote or custom) and manage taxable base, VAT and withholding tax. FatturaPA e-invoicing is also supported, with automatic numbering by year.
How do I organise a crew's round?
Open "Daily round", pick the date and the crew: you see the stops one under the other with client, address, time and duration. Drag a stop to change the order they will be done in and the map updates. From the full-screen board the office follows every crew at once, while each worker sees their own round in the app.
How do I keep track of vehicle deadlines and servicing?
In "Equipment fleet" every vehicle has hours or kilometres, status, assignment and its inspection, insurance and servicing dates. The software works out how many days are left and shows an alert at the top of the pages when a deadline is close or already past, so you don't need a separate reminder.
How does stock work with the materials used on site?
Every item has a stock level, last cost and value. Materials used are deducted from the job's field report, while stock-in is recorded from the warehouse or imported from CSV. When an item drops below its minimum or goes below zero, an alert appears at the top of every page with the details of the items involved.
Where do the prices in a quote come from?
From the price list: you create categories, line items and packages with unit of measure and price, and when you build a quote you pick the items that are already set up. The quote becomes a PDF with your logo and can be sent to the client straight from the software.
Can I import my clients and history?
Yes. You download the Excel/CSV template, fill it with your data and upload it: before confirming you see a preview and choose row by row what to overwrite. During onboarding we help you bring in the records and history, so you don't re-enter anything by hand.
What devices does it work on?
QuerciaCloud is used from the web in the office and from a mobile app in the field. The app is set up in a moment by scanning a QR code and allows secure access even without a password, using the passkey.
How do the demo and onboarding work?
You book a demo on the site by choosing a day and time: we show you the software for your specific case. If you decide to activate it, onboarding includes a weekly video call where we guide you through the setup and the entry of clients and jobs.
